HELP / PRIVACY / TRUST
A place for your records.
Crate Journal is in a small, invitation-only collector preview. The public website at cratejournal.com is our launch waitlist.
Getting started
Add a record manually or import a Discogs collection CSV. Review the import before saving. Use Copies owned for matching copies; use separate entries for different pressings or conditions. Collection tools holds export, storage locations and removed records.
Your collection supports 2,000 active and removed entries together, within the storage size limit. Permanently removing entries frees space. Artwork uploads support JPG, PNG and WebP up to 5 MB each, with a 200 MB account allowance and 50 uploads per day during beta.
What stays private
Your collection, notes, copy details, storage locations, listening activity, saved ZIP, follows and private crates belong to your signed-in account. Crate Journal stores them to provide these features. Support staff may need to inspect data to investigate a problem you report.
Sign-in uses a one-time code sent to your email. We store your email and a session token so you can return to your records. We do not store a password. Beta feedback includes your email only if you choose the reply option.
What sharing means
Publishing creates a separate snapshot of the records and stories you select. Private notes do not become public stories. Uploaded photos require a separate sharing choice; published copies have location and other unnecessary image metadata removed.
Deleting a private record does not remove an already published snapshot. Update or stop sharing in the profile, crate or shop editor. Link-only crates can be opened by anyone with the link who has access to the preview site. People can keep copies or screenshots after you withdraw a page.
Outside services
Cover lookup and selected remote cover images may contact MusicBrainz, Cover Art Archive or the image host. When you ask for current release or show recommendations, Crate Journal sends up to 12 owned artists, your leading genres, up to 12 favorite album titles, and your entered city or ZIP for live music to OpenAI for a web search. Your private notes, email, and storage location are not sent for recommendations. Following a shop, concert or album link opens another website with its own policies. Purchases happen on the shop website. Crate Journal does not process record payments.
The launch waitlist and welcome email are managed separately. Unsubscribing from launch email does not delete your collection. See waitlist privacy.
Keep, export or delete
Data stays until you remove it or delete your account. Records you remove stay in Removed records until you permanently delete them. Unreferenced uploads can remain stored until account deletion or support cleanup. Account & data provides a downloadable archive, up to five recent collection recovery versions, and confirmed account deletion. Permanently deleting a removed record clears collection recovery history. Deletion blocks further saving immediately and reports completion after artwork cleanup; interrupted uploads can require a support-assisted retry. A minimal account identifier and deletion status remain to prevent stale tabs recreating data. Residual provider backups may persist under the host’s retention policy; we have not yet established a verified backup retention period.

Email hello@cratejournal.com. Include the page address and what happened. For impersonation, unsafe links, copyright or privacy concerns, use “Report a page” in the subject. Never include passwords or verification codes.
Shops must pass a manual affiliation review before publishing. Some collector and shop content is illustrative during the preview; it does not represent real members or business partnerships. Release selections show their check date. Current show suggestions depend on a separate recommendation connection.
